Held from March 19–21, 2019, at the Saadiyat Rotana Hotel in Abu Dhabi, Ghadan 21 - The Gathering was a three-day event and workshop organized by the Department of Urban Planning and Municipalities (DPM).

The event focused on developing innovative urban projects and ideas to revamp Abu Dhabi, bringing together some of the most esteemed experts in urban planning and architecture. Participants collaborated in teams on six distinct projects, culminating in a final presentation and awards ceremony on the last evening.

Evolution was tasked with delivering a comprehensive turnkey solution, transforming the Saadiyat Rotana Ballroom into a multifunctional space that accommodated workshops, an auditorium, and a stage for speeches and panels. By managing all aspects of event design and delivery, Evolution ensured a seamless and impactful experience for participants and stakeholders alike.

Turnkey Event Design and Seamless Delivery

• Designed and executed the event layout, transforming the ballroom into an engaging workshop and conference space.
• Built custom workshop tables, furniture, and decorative elements tailored to the event’s needs and theme.
• Provided full AV and technical solutions, including truss, large-screen Wacom drawing tablets, plotter printers, and specialized modeling supplies.
• Delivered a complete pre-function and ballroom fit-out, including carpeting, staging, and custom elements to enhance the event’s ambiance.
• Managed delegate logistics, including badging, invitations, gift bags, and on-site support.
• Coordinated catering services, hostesses, and event documentation over three days.
• Ensured smooth operations and communication by liaising with stakeholders from DPM, The Agency, and participants throughout the event.

The success of Ghadan 21 - The Gathering was reflected in the positive feedback from both the client and participants.

Evolution’s meticulous planning and execution ensured a productive and memorable event that showcased the potential for Abu Dhabi’s urban future.
