A high-level climate meeting at Emirates Palace shaped through formal conference production, locally rooted hospitality and a culturally enriched opening sequence.

Held at Emirates Palace on 30 and 31 October 2023, the Pre-COP28 Conference brought government representatives, climate stakeholders and experts together ahead of COP28 under the UNFCCC process.


The setting called for more than efficient conference delivery. As an international meeting hosted in the UAE, the event needed to balance diplomatic formality with a distinctive sense of place and welcome. Evolution developed the overall style and ambience around that balance, connecting the opening ceremony, breakout meeting environments, press activity, reception and VIP hospitality within a compressed 14-day delivery period.

The Challenge


A preparatory climate conference carries an intense concentration of senior stakeholders, media attention and working meetings. The environment had to support formal discussion and press communication while remaining welcoming enough for relationship building outside the scheduled programme.


The 14-day delivery window required concept development, approvals, fabrication, sourcing and installation to advance almost simultaneously. Cultural references needed to feel authentic and considered, not added as last-minute decoration.


The project also required temporary breakout environments, tailored furniture, an opening ceremony, local performances, welcome gifts and a fully equipped press-conference room.

The Solution


Evolution established an event language that combined formal clarity with UAE hospitality. Custom-built tented environments and furniture created breakout rooms with a more intimate character, helping working discussions feel separate from the scale and ceremony of the principal venue.


The opening ceremony introduced cultural elements and performances by local artists, giving the international programme a clear connection to its host country. A curated reception continued that sense of welcome, while VIP baskets featuring locally sourced products extended the experience into a more personal gesture of hospitality.


The press-conference room was equipped with a comprehensive AV system to support clear communication and presentation. Technical planning, room use and guest movement were coordinated with the wider programme so media activity could operate without disrupting the meeting environment.


Fast-track project management connected the creative, scenic, furniture, technical and hospitality workstreams, allowing the concept to remain cohesive despite the 14-day production window.
