• Integrated Event Delivery: ADGM LINK at NOVIKOV Abu Dhabi

    Image description

Delivering a successful event requires multiple creative, operational and guest-facing elements to work together as one coordinated experience.

For the latest ADGM LINK event, held at NOVIKOV Abu Dhabi, Evolution Events managed a broad scope of delivery covering scenic design and production, pre-registration and onsite registration, venue coordination, permits, digital screen content, entertainment and hostesses.

Bringing these areas together under a coordinated delivery approach helped maintain consistency across the event, from the visual environment and digital content to guest arrival and onsite operations.

An Integrated Approach to Event Management

Event delivery involves far more than what is visible once guests arrive.

Registration, venue requirements, permits, scenic production, content and entertainment each follow their own planning and production processes. At the same time, every element needs to align with the event programme, venue and overall experience.

For the latest ADGM LINK event, Evolution Events managed these disciplines as connected workstreams rather than isolated services.

This provided continuity throughout the project and allowed creative, operational and guest-facing requirements to be coordinated within the wider event plan.

    Pre-Registration + Onsite Guest Management

Registration is a key part of the guest experience and an important operational consideration for networking and corporate events.

Evolution managed both pre-registration and onsite registration, supporting the guest journey before and during the event.

At NOVIKOV Abu Dhabi, branded registration desks extended the visual identity into the arrival environment, connecting a functional event requirement with the wider creative treatment.

This combination of operational planning and visual consistency helped establish a clear experience from the point of entry.

    Scenic Design + Production

Scenic production translated the LINK visual identity into physical elements throughout the venue.

Evolution managed the design and production of the scenic elements, including a prominent illuminated LINK installation that created a central branded feature within the event environment.

Additional branded elements were integrated throughout the space, allowing the identity to remain consistent without overwhelming the existing character of the venue.

For corporate and networking events, scenic production plays an important role in creating a distinctive environment while supporting the practical requirements of the event.

    Digital Content + Interactive Displays

Digital screens provide another opportunity to extend event identity and communicate with guests.

Evolution created the content for the digital screens, coordinating the digital treatment with the wider visual environment.

Interactive displays and screen content complemented the physical LINK elements, allowing digital and scenic production to operate as part of the same overall identity.

Integrating these elements during the planning process helps avoid a fragmented approach in which scenic, branding and digital content are developed independently.

    Entertainment + Hospitality

Entertainment and hospitality contribute to the overall atmosphere of an event and can be particularly important in environments designed around networking and conversation.

Evolution coordinated the entertainment and hostesses for the evening, incorporating both into the wider onsite event management.

Hospitality included a selection of canapés, including oysters and tiramisu, together with sparkling wine, cocktails and mocktails.

These elements supported the informal networking format of the evening while complementing the setting at NOVIKOV Abu Dhabi.

    Venue Coordination + Permitting

A significant part of event delivery takes place away from the guest-facing environment.

Evolution managed venue coordination and permits as part of the overall project scope, aligning operational requirements with the event's creative and production programme.

Venue coordination is particularly important when scenic installations, digital elements, entertainment and guest operations are being introduced into an existing hospitality environment.

Planning these requirements together allows production decisions to account for venue parameters from an early stage and supports a more coordinated onsite delivery process.

    Connecting Creative + Operational Delivery

The individual components of an event may require very different expertise, but they ultimately contribute to a single guest experience.

For the latest ADGM LINK event, Evolution Events brought together:

    • Scenic design and production
    • Pre-registration and onsite registration
    • Venue coordination
    • Permitting
    • Digital screen content creation
    • Entertainment
    • Hostess management

Managing these areas within one coordinated scope allowed the visual, operational and guest-facing requirements to remain aligned throughout the event.

    One Coordinated Event Experience

The latest ADGM LINK event at NOVIKOV Abu Dhabi demonstrates how integrated event management can bring together multiple disciplines without allowing any single element to operate in isolation.

From the illuminated LINK scenic installation and digital content to registration, venue management and entertainment, each component had a specific function within the wider event.

For Evolution Events, the focus was on coordinating those individual requirements into a consistent event environment — combining creative production, operational planning and guest management within one integrated delivery approach.

  • How Venue Choice Shapes the Event Experience

The Venue Is Part of the Experience

A venue influences an event before the first presentation or performance begins. Its scale, architecture and layout affect where guests look, how they move and how close they feel to the activity around them.

Choosing a venue therefore starts with the experience the event needs to create. A conference depends on sustained attention. A brand activation encourages exploration. An executive reception needs space for conversation. A location can accommodate the required number of guests without necessarily supporting any of these experiences well.

For events across the UAE and Saudi Arabia, venue selection is both a creative and a production decision. The setting should help the programme work, rather than leave the team compensating for its limitations later.

Design Around How Guests Will Participate

A seated presentation concentrates attention in one direction. Networking distributes it across smaller groups. An exhibition asks visitors to move between several points of interest. Combining these formats requires more than allocating enough floor space to each.

Their relationship matters. A busy activation beside a presentation area can compete for attention. A hospitality point can encourage conversation, but its queue should not obstruct the route to the next session. The layout needs to support both individual activities and the transitions between them.

For HSBC Circle of Excellence 2023 at the Museum of the Future, Evolution worked with MCM Creative Global on an event combining exhibition content, sponsor stands, conference sessions, a VIP VR experience and executive networking. The project brought several modes of participation into one setting. Planning for that mix means considering where guests need to focus, interact, pause and move on.

Give the Brand a Clear Role Within the Architecture

A landmark venue already has a visual identity. That can add significance to an event, but it also changes the role of scenic design and branding.

Covering distinctive architecture with extensive temporary structures may remove the very quality that made the location appealing. Conversely, relying entirely on the venue can leave the event’s own identity unclear. The design needs a deliberate balance between the two.

At HSBC Circle of Excellence, exhibition and activation spaces followed HSBC’s brand guidelines within the Museum of the Future’s distinctive setting. The design challenge was to make each area identifiable while retaining a coherent relationship with the venue.

This balance changes with the brief. A product reveal may require a controlled backdrop and carefully directed attention. A reception may benefit from keeping the surrounding architecture visible. The amount of scenic intervention should follow the purpose of the event.

Keep the Concept Recognisable When the Setting Changes

A multi-venue programme tests which elements genuinely define an experience. An identical layout may be unsuitable across different locations, even when the branding and programme remain consistent.

DSS Gahwa Beats 2025 brought coffee culture and live music to ToDA, Sky Views Observatory, Dubai Mall Ice Rink, Roxy Cinemas Jumeirah and Deep Dive Dubai. Working with Energie Entertainment, Evolution created two coffee counters, a DJ counter and a branded photo booth, supported by professional DJ equipment.

That compact set of functional elements gave the programme a recognisable physical identity across five contrasting destinations. The coffee, music and photography provided consistent points of interaction without requiring every venue to become the same environment.

For similar programmes, placement and orientation need to be assessed separately at each site. The aim is to preserve what guests recognise while adapting how they encounter it.

Let Production Conditions Inform the Creative Direction

A venue’s practical conditions shape what the audience can ultimately experience. Ambient light affects screen visibility. Acoustics influence speech clarity. Loading routes and access windows determine what can be installed and tested before guests arrive.

These conditions should inform design before a concept is committed to fabrication. A complex installation may suit a venue with generous build access; a shorter window may favour modular elements and simpler assembly. Both can support a strong experience when the production approach fits the setting.

The right venue gives the event room to achieve its purpose. It enables the intended audience interaction, supports an appropriate brand presence and allows the production team to deliver the design reliably.

    Frequently Asked Questions

When should an event venue be confirmed?

Confirm the venue once the proposed layout, technical requirements, access times and overall delivery costs have been assessed. A provisional hold can protect the preferred date while those checks are completed, subject to the venue’s booking terms.

What should be included when comparing venue costs?

Look beyond the hire fee. Compare furniture and equipment inclusions, required suppliers, power and internet provision, security, cleaning, loading arrangements and additional build or rehearsal time. A lower hire fee does not always mean a lower total production cost.

Can an unconventional location work as an event venue?

Yes, provided its suitability is assessed early. Confirm permission for the intended use, safe capacity, accessibility, utilities, welfare facilities and emergency arrangements with the relevant venue and specialist teams. These requirements help establish whether the location is practical for the proposed event.

  • Our Future(s) 2.0

Wide-angle view of main plenary auditorium filled with tech visionaries during Dubai summit

Dubai Future Foundation commissioned Our Future(s) Season 2 as a five-day public activation at Kite Beach during the Dubai 30x30 Fitness Challenge.

The experience explored how technology and fitness could shape healthier communities and future lifestyles. Evolution’s task was to turn that theme into direct participation, giving visitors something they could play, test and respond to within an accessible public setting.

The activation connected physical movement with digital interaction through a robotic basketball challenge, a bespoke Global 50 touchscreen experience and a custom structure designed around public use and daily operation.

    The Challenge

The beachfront activation needed to welcome more than 5,000 visitors across five days while operating to a fixed daily schedule from 5:00 PM to 11:00 PM. Registration, sessions, resets and public opening all had to follow a repeatable rhythm.

The technology also needed to feel immediate and intuitive. A robotic basketball system and custom touchscreen application had to withstand high public use, record interaction accurately and remain supported throughout the live period.

A robotic basketball arm, interactive future content and a custom beachfront structure engaged more than 5,000 visitors during Dubai 30x30.

    The Solution

Evolution managed the complete build, installation, five-day operation and de-rig under a compressed programme, including three installation days and two de-rig days.

A bespoke deck and integrated saddle-span tent formed the main activation structure, bringing the interactive and operational requirements into one clear beachfront environment.

The robotic basketball arm was supported by custom registration, programming, scoring and back-end development. This turned a familiar sporting action into a technology-led challenge with a complete participation journey.

A bespoke Global 50 touchscreen application introduced a second mode of engagement, allowing visitors to explore future-focused content beyond the physical game. Evolution coordinated the delivery with Dubai Sports Council, Dubai Municipality, Humantra and Technogym.
