On 23 November 2024, the UAE welcomed the President of Indonesia at Qasr Al Watan through a large-scale ceremonial showcase of Emirati culture and tradition.
More than 800 performers took part, including Ayala, Harbiya, Nadba and Naashat groups, alongside 100 horses and 100 camels. Evolution’s role was to connect this cultural line-up with the infrastructure, transport and technical systems required to present it with dignity and precision.
The experience was designed as cultural diplomacy at scale. The public procession communicated national identity, while an extensive back-of-house operation at Emirates Palace ensured that every performer, animal and cue reached the palace in the correct sequence.
The Challenge
The ceremony brought together hundreds of participants, diverse performance traditions and 200 animals within a highly coordinated state protocol. Behind the final presentation was a complex operational framework, with each group requiring dedicated planning around rehearsal schedules, holding areas, welfare considerations and movement. Evolution’s challenge was to integrate these elements into one cohesive welcome experience.
The technical and logistical infrastructure also had to remain reliable across the compound and ceremonial routes. Power, cabling, communications, lighting and audio were essential to control the programme but could not become visually dominant within the palace setting.
The Solution
Evolution coordinated the cultural line-up as a complete performance system, managing choreography, sequencing and live direction for more than 800 performers. Group movements were planned around the visual rhythm of the reception and the arrival of the official delegation.
A comprehensive back-of-house compound was created at the Emirates Palace boneyard, including offices, cabins, stables, screening and catering tents, and dedicated animal holding areas. The layout established controlled routes for performers, animals, equipment and support teams.
Power distribution, cable routes, communication systems, lighting and audio infrastructure were integrated into the operational plan. This gave show management reliable control while protecting the ceremonial environment from visible technical clutter.
Transport, accreditation, catering and delivery schedules were managed centrally, with traffic and movement control coordinating the transfer of people, animals and equipment between holding areas and the palace programme.
