• UAE Climate Tech

A connected climate-technology environment bringing conference content, more than 80 exhibitors and interactive demonstrations into one visitor journey.

Hosted at the Abu Dhabi Energy Centre, UAE Climate Tech brought global climate leaders, innovators and technology providers together to explore practical responses to climate change. More than 80 international and local exhibitors presented developments ranging from renewable-energy systems to carbon-capture technologies.

The event needed to make an extensive field of technical innovation understandable at human scale. Evolution's role was to connect the conference, exhibition and sponsor environments so visitors could move from big-picture discussion into direct encounters with the technologies being described.

The resulting experience combined a central programme of opening content, fireside chats and panel discussions with an exhibition floor organised around discovery, demonstration and conversation.

    The Challenge

The event had to accommodate a substantial exhibition population without allowing the hall to feel like a collection of unrelated stands. The floor plan needed to support more than 80 exhibitors, sponsor requirements, interactive displays and clear guest movement.

At the same time, the conference area carried high-profile content, including recorded speeches from Bill Gates and Emirati astronaut Sultan Al Neyadi. Audio, video, scenic design and audience sightlines needed to give that material appropriate clarity and significance.

The creative and operational response therefore had to treat the hall as one integrated climate-technology platform rather than separate conference and exhibition packages.

    The Solution

Evolution designed the conference environment as the collective centre of the event, supporting the opening ceremony, fireside conversations and panel discussions within a focused visual frame. The stage and content systems were developed together so prerecorded contributions, live speakers and presentation material could move through the programme without breaking continuity.

Across the exhibition, a considered floor plan created visible routes through more than 80 international and local exhibitors. Sponsor stands and exhibition spaces were designed as related parts of the same environment, with interactive displays, virtual-reality experiences and live demonstrations giving visitors different ways to understand the technologies presented.

Evolution's in-house scenic capability fabricated the exhibitor and sponsor environments to a consistent standard, while technical teams managed the event's audio and visual systems. Tailored furniture supported discussion, demonstrations and moments of pause across the hall.

Central event planning connected these specialist workstreams, ensuring that brand, content, visitor movement and live operations supported the same objective: making climate innovation accessible, credible and engaging.

    Delivery Highlights

    • Conference environment for the opening ceremony, fireside chats and panel discussions.
    • Recorded contributions from Bill Gates and Emirati astronaut Sultan Al Neyadi.
    • Exhibition planning for more than 80 international and local exhibitors.
    • Interactive displays, virtual-reality experiences and technology demonstrations.
    • Design and construction of exhibition stands and sponsor spaces.
    • Integrated audio and visual production across the event.
    • Tailored furniture supporting the conference and exhibition environment.

    Image description

    Outcome

UAE Climate Tech gave visitors a clear route from strategic climate discussion into the technologies capable of supporting it. The conference created shared context, while the exhibition allowed that context to become tangible through demonstrations, interactive content and direct conversations with exhibitors.

The event's strength came from the relationship between those two experiences: climate technology was not only discussed on stage, but encountered across the hall.

  • Investopia 2024

A two-day investment environment connecting a 25-metre main-stage experience with breakout content, media studios and 59 dedicated B2B meeting spaces.

A two-day investment forum connecting a 25-metre main-stage experience with breakout content, media studios and 59 dedicated B2B meeting spaces.

In February 2024, the third annual Investopia brought more than 1,600 global leaders, investors and innovators to the St. Regis Saadiyat Island Resort in Abu Dhabi. Hosted by the Ministry of Economy, the two-day programme explored emerging investment trends and international opportunities.

Returning for a second consecutive year, Evolution developed the event around the different formats required by a global investment platform: public thought leadership, focused panel discussions, formal announcements, broadcast interviews and private business meetings.

The design approach created a series of connected environments, each with a defined role within the participant journey. From the main stage to private meetings and media spaces, every area was planned to support a different type of engagement while maintaining one unified event identity.

    The Challenge

The third edition needed to support more than 1,600 attendees and an expanded B2B programme while maintaining the coherence, privacy and operational standards expected of an international investment event.

Three stages, two enclosed television studios, 50 individual meeting booths and nine private meeting rooms needed to operate simultaneously. Each environment required the right balance of privacy, technical support and visual identity while remaining connected to the wider event experience.

The principal stage also required greater visual scale to support high-profile content and establish a stronger focal point for the expanded edition.

Investopia networking foyer with branded media booth, directional signage and delegates in discussion

    The Solution

Evolution designed the main stage around a 25-metre screen, curved scenic architecture and six LED screen totems. The composition created a strong visual platform for presentations, ensuring speakers, content and audience focus remained connected within the wider environment.

A breakout stage supported smaller panel formats, while a dedicated press and MOU stage provided a separate setting for announcements and media activity. This approach allowed different content formats to operate simultaneously while maintaining the appropriate atmosphere, timing and technical requirements for each.

The custom B2B environment contained 50 individual booths and nine enclosed meeting rooms manufactured by Evolution’s in-house scenic department. Together, these 59 spaces provided participants with flexible settings for introductions, business discussions and more private conversations.

Two enclosed TV studios within the pre-function area supported interviews and broadcast activity. An opening film introduced Investopia’s themes, while onsite management coordinated the movement of speakers, delegates, media and operational teams across the multiple event environments.

    Delivery Highlights

    • Two-day event for more than 1,600 participants at St. Regis Saadiyat Island.
    • Main stage with a 25-metre screen, curved scenic elements and six LED-screen totems.
    • Separate breakout and press/MOU stages.
    • B2B environment with 50 individual booths and nine enclosed meeting rooms.
    • Two fully enclosed television studios for interviews and live broadcasts.
    • High-impact opening film introducing the event.
    • Integrated onsite management across all programme and meeting areas.

    Outcome

Investopia 2024 created an environment where more than 1,600 participants could move seamlessly between public thought leadership and private business exchange. Major ideas were introduced on the main stage, explored through smaller sessions, shared through media platforms and developed further within 59 dedicated meeting spaces.

This range of environments supported the different stages of investment engagement, from global visibility and knowledge sharing through to focused discussions, relationship building and formal business conversations.

  • Ghadan 21: The Gathering

U.S. President Donald Trump and UAE President Sheikh Mohamed bin Zayed Al Nahyan during the official state visit ceremony at Qasr Al Watan, Abu Dhabi, UAE, 2025.

Held from 19 to 21 March 2019 at Saadiyat Rotana, Ghadan 21 - The Gathering brought leading urban-planning and architecture experts together to develop six projects for the future of Abu Dhabi. The three-day programme concluded with final presentations and an awards ceremony.

This was not a conference about innovation; it was an event in which participants were expected to produce it. Evolution transformed the ballroom into a working studio where teams could draw, model, test and refine ideas, while still supporting plenary discussion, stakeholder engagement and formal presentation.

The experience was designed around productive behaviour. Furniture, technology, spatial zoning and live support were selected for the work participants needed to complete rather than for a conventional conference layout.

    The Challenge

Six project teams needed distinct working territories, practical tools and sustained access to technical support over three days. At the same time, the ballroom had to accommodate speeches, panels, shared discussion and the final presentation and awards programme.

The project also involved invitations, badging, gift bags, catering, hostesses and liaison with DPM, The Agency and participating experts. These services needed to remain responsive to a workshop process in which requirements could evolve as ideas developed.

Guest engagement and set build designed and managed by Evolution Events.

    The Solution

Custom workshop tables and furniture gave each team a defined base for collaboration. Large-screen Wacom drawing tablets, plotter printers and specialised modelling supplies allowed participants to move directly from discussion into visual development without leaving the event environment.

The ballroom layout maintained a relationship between individual work and the collective programme. Team zones supported concentration, while the auditorium, stage and shared circulation kept the six projects connected to one wider urban vision.

A complete pre-function and ballroom fit-out, including carpeting, staging and custom decorative elements, gave the temporary studio a considered identity appropriate to senior public-sector stakeholders. Full AV and truss systems supported both working sessions and formal presentations.

Evolution coordinated badging, invitations, gifts, catering, hostesses, documentation and stakeholder communication over the three days. The operational plan was built around the workshop rhythm, allowing support teams and technical resources to respond as the projects progressed.

    Delivery Highlights

    • Three-day workshop, plenary and awards environment at Saadiyat Rotana.
    • Six project workstreams supported within one adaptable ballroom.
    • Custom workshop tables, furniture and decorative elements.
    • Large-screen Wacom drawing tablets, plotter printers and modelling supplies.

Breakout sessions at a conference with environmental design and implementation by Evolution Events.

    Outcome

The Gathering gave six teams the practical conditions to develop ideas rather than simply discuss them. The environment supported concentration at the worktable, access to specialist tools and moments of collective focus when teams returned to the shared stage.

By the final evening, the ballroom had carried the projects through their complete cycle - from early collaboration and visual development to presentation and recognition.

  • Plan Capital

A planning workshop structured as a journey from shared provocation in the Innovation Hub to focused work across 14 groups.

The Department of Urban Planning and Municipalities commissioned Plan Capital to explore the trends, innovations and strategies that could shape Abu Dhabi over the following 10 to 15 years.

The event needed to move beyond discussion and create a structured environment where ideas could be developed into practical outcomes. Participants moved between a shared plenary experience, focused group workshops and collaborative sessions before returning to present their responses.

Evolution translated this process into a clear spatial journey. The main ballroom created a collective centre through the stage and Innovation Hub, while the second ballroom provided the dedicated environment required for detailed group collaboration.

    The Challenge

Long-term planning can become abstract when every idea is presented through the same format. Plan Capital needed to create distinct environments for participants to absorb insight, develop ideas, test approaches and present outcomes.

Fourteen groups also required sufficient separation to work productively while maintaining the feeling that each team was contributing to one shared vision for Abu Dhabi’s future. With a short delivery period, scenic, technical, registration and documentation requirements needed to be planned and executed as one coordinated solution.

Wide-angle shot of Abu Dhabi summit plenary hall filled with finance industry professionals

    The Solution

The primary ballroom was designed around the main stage and Innovation Hub, giving the event a shared visual centre for strategic direction and collective discussion.

In the second ballroom, 14 workshop areas aligned each group with a specific objective. The layout created focus while retaining visual and operational connection to the wider event, preventing the collaborative phase from feeling like a series of isolated meetings.

AVL supported both plenary and workshop content, while registration created an ordered point of arrival. Photography and video captured not only the formal programme but the process of participants developing ideas, giving the client a record of the workshop's thinking as well as its outputs.

Evolution coordinated the compressed setup through one intergrated production structure. The result was a temporary planning environment designed around the way participants needed to move, collaborate and contribute, supporting the transition from future-focused discussion to practical outcomes.

    Delivery Highlights

    • Main stage and central Innovation Hub in the primary ballroom.
    • Workshop environments for 14 groups in a second ballroom.
    • Spatial sequence supporting inspiration, collaboration and presentation.
    • Full AVL for plenary and workshop activity.
    • Guest registration services.
    • Photography and video coverage.
    • Delivery within a compressed production timeline.

    Outcome

Plan Capital transformed a future-focused discussion into a structured process of collaboration. Participants first aligned around a shared strategic vision before moving into focused team environments designed to develop responses and return to the collective programme with practical outcomes.

The Innovation Hub and workshop environments made the planning process tangible, turning a long-term policy conversation into an interactive experience where ideas could be explored, developed and translated into solutions.

  • Pre-COP28 Conference

A high-level climate meeting at Emirates Palace shaped through formal conference production, locally rooted hospitality and a culturally enriched opening sequence.

Held at Emirates Palace on 30 and 31 October 2023, the Pre-COP28 Conference brought government representatives, climate stakeholders and experts together ahead of COP28 under the UNFCCC process.

The setting called for more than efficient conference delivery. As an international meeting hosted in the UAE, the event needed to balance diplomatic formality with a distinctive sense of place and welcome. Evolution developed the overall style and ambience around that balance, connecting the opening ceremony, breakout meeting environments, press activity, reception and VIP hospitality within a compressed 14-day delivery period.

    The Challenge

A preparatory climate conference carries an intense concentration of senior stakeholders, media attention and working meetings. The environment had to support formal discussion and press communication while remaining welcoming enough for relationship building outside the scheduled programme.

The 14-day delivery window required concept development, approvals, fabrication, sourcing and installation to advance almost simultaneously. Cultural references needed to feel authentic and considered, not added as last-minute decoration.

The project also required temporary breakout environments, tailored furniture, an opening ceremony, local performances, welcome gifts and a fully equipped press-conference room.

Pre-COP28 main auditorium with a panoramic stage reflecting desert and ocean landscapes

    The Solution

Evolution established an event language that combined formal clarity with UAE hospitality. Custom-built tented environments and furniture created breakout rooms with a more intimate character, helping working discussions feel separate from the scale and ceremony of the principal venue.

The opening ceremony introduced cultural elements and performances by local artists, giving the international programme a clear connection to its host country. A curated reception continued that sense of welcome, while VIP baskets featuring locally sourced products extended the experience into a more personal gesture of hospitality.

The press-conference room was equipped with a comprehensive AV system to support clear communication and presentation. Technical planning, room use and guest movement were coordinated with the wider programme so media activity could operate without disrupting the meeting environment.

Fast-track project management connected the creative, scenic, furniture, technical and hospitality workstreams, allowing the concept to remain cohesive despite the 14-day production window.

Pre-COP28 main auditorium with a panoramic stage reflecting desert and ocean landscapes

    Delivery Highlights

    • High-level preparatory climate meeting at Emirates Palace on 30-31 October 2023.
    • Overall event style and ambience developed within a 14-day delivery period.
    • Custom-built tented breakout environments with tailored furniture.
    • Opening ceremony featuring cultural elements and local artists.
    • VIP welcome baskets containing locally sourced UAE products.
    • Comprehensive AV system for the press-conference room.
    • Curated reception supporting cultural depth and international hospitality.

    Outcome

The Pre-COP28 Conference combined the precision required of an international climate meeting with an environment that felt rooted in the UAE. Formal content, working sessions, media activity and hospitality each had their own character, but remained part of one considered experience.

The locally informed opening, reception and guest details gave participants a stronger sense of place without competing with the seriousness of the discussions ahead of COP28.

  • Global Citizen Forum

A secure digital venue combining a CGI stage, live presenter, global speakers and interactive audience tools.

Under the patronage of His Highness Sheikh Saud bin Saqr Al Qasimi and in partnership with Ras Al Khaimah Tourism Development Authority, the Global Citizen Forum brought international leaders and public figures to the Al Hamra International Exhibition and Conference Centre under the theme The Future in Motion.

The two-day programme needed to hold two different emotional registers: the discipline and clarity of a leadership conference, followed by a gala dinner with greater warmth, theatre and celebration.

Evolution used the event theme as a guiding principle for the overall experience design. Scenic elements, technical production and programme transitions were coordinated to create a cohesive environment that supported the evolving narrative of the event while maintaining a consistent visual identity throughout.

    The Challenge

Conference sessions required speaker focus and a controlled visual setting. The gala demanded a more expressive atmosphere, yet treating the evening as an unrelated fit-out would have weakened the overall experience.

High-profile attendees also required polished logistics and dependable transitions. Changes between sessions, guest movement and the evening setup needed to happen without exposing the production complexity behind them.

Global Citizen Forum delegates arriving on a red carpet between branded Year of the Fiftieth banners

    The Solution

The main stage and branded scenic elements gave the conference a clear visual centre, supporting different formats of leadership discussion while reflecting the theme's sense of forward movement.

Audio, video and lighting systems were integrated with the scenic environment so that content and atmosphere could change together. For the gala, the design language was adapted through custom scenic elements and lighting rather than replaced, creating a more intimate and celebratory setting that still belonged to the same event.

Onsite coordination focused on the transitions between programme states. Conference sessions, technical changes, guest communication and the gala setup were treated as one sequence, allowing the audience to experience a deliberate evolution rather than a visible reset.

The theme therefore became more than event language. It was reflected in how guests progressed through the programme and how the environment moved with them.

    Delivery Highlights

    • Two-day conference and final-evening gala at Al Hamra International Exhibition and Conference Centre.
    • Main stage and branded scenic environment reflecting The Future in Motion.
    • Full audio, video and lighting production.
    • Custom gala scenic and lighting treatment.
    • Event coordination and onsite logistics for high-profile attendees.
    • Planned transitions between conference sessions and evening hospitality.

    Outcome

The Global Citizen Forum changed atmosphere without changing identity. Guests moved from international dialogue into evening hospitality through a progression that felt planned, not improvised.

By the final evening, the environment had become warmer and more theatrical, but the visual and production language still connected the gala to the ideas and relationships established during the conference.
