• Marsh Energy Conference

U.S. President Donald Trump and UAE President Sheikh Mohamed bin Zayed Al Nahyan during the official state visit ceremony at Qasr Al Watan, Abu Dhabi, UAE, 2025.

The seventh Marsh Biennial Energy Industry Conference brought more than 560 participants from 50 countries to Dubai, making it the largest international gathering focused on energy risk at the time. The main conference was held at The Westin, followed by an exclusive dinner at Emirates Towers.

Marsh wanted an event that felt sophisticated without becoming remote or overly formal. The most important conversations would not happen only on the main stage; they would also take place over coffee, during registration, while delegates used event technology and as guests moved between programme moments.

Evolution designed the experience around those spaces between sessions. Conference production, hospitality, technology support and delegate service were treated as one connected environment, giving the event a social rhythm that encouraged people to pause, meet and continue the discussion.

    The Challenge

A global risk conference needed to communicate authority and precision, but its real value depended on interaction among a geographically diverse audience. Generic circulation spaces would have missed an opportunity to support the conference's purpose.

The three-day programme also crossed two premium hotel venues and included workshops, registration, digital support, branded materials, content capture and an evening dinner. These different functions needed to feel consistent with Marsh's brand and service standards.

CEO speech at a conference with a custom lectern.

    The Solution

Evolution established the formal conference environment through integrated branding, staging and production, while giving equal attention to the delegate experience beyond the main programme.

The custom Pop-Up Cafe created an informal networking space through a branded coffee truck and specialty coffee bar, encouraging conversations between sessions. The Cyber Lounge provided a dedicated environment for digital engagement, while the Mobile App Helpdesk made event technology accessible and easy to navigate. Together, these spaces transformed essential services into meaningful touchpoints that encouraged interaction throughout the event.

Registration for more than 560 delegates was designed as the first expression of the conference experience. Branded furniture, collateral, programme books and delegate gifts reinforced a consistent visual identity, while photography and video captured not only the keynote sessions but also the conversations, connections and atmosphere that defined the event.

The transition from The Westin to the evening dinner at Emirates Towers was managed with the same focus on continuity and guest experience. By coordinating both venues as a single integrated programme, Evolution maintained the conference's identity from the formal business sessions through to the closing hospitality experience.

    Delivery Highlights

    • End-to-end event branding, design, staging and production.
    • Registration and delegate support for more than 560 participants from 50 countries.
    • Custom Pop-Up Cafe with a specialised coffee bar and branded coffee truck.
    • Cyber Lounge and Mobile App Helpdesk integrated into the delegate journey.
    • Furniture, collateral, programme books and branded giveaways.
    • Three days of photography and video coverage.
    • Coordination between The Westin conference programme and the Emirates Towers dinner.
Speaker management, onstage quesion and answer session.

    Outcome

The completed conference used the whole environment to support professional connection. Delegates had clear places to register, seek assistance, work with event technology, meet informally and carry conversations beyond the scheduled sessions.

This made service design part of the creative response. The stage established authority, but the cafes, lounges and support spaces gave the international audience practical reasons to remain engaged with one another throughout the three-day programme.

  • Investopia 2023

A two-day investment platform structured around a 21-metre main stage, focused breakout content, 35 B2B booths, media studios and a terrace gala.

In March 2023, the Ministry of Economy hosted the second edition of Investopia at the Hilton in Abu Dhabi. More than 1,400 attendees, including industry leaders and policymakers, gathered over two days to examine emerging investment opportunities and build new partnerships.

The programme required several different forms of engagement to happen within one event: large-scale thought leadership, smaller discussions, press activity, one-to-one business meetings and evening hospitality.

Evolution organised the experience around that progression, creating a spatial hierarchy that moved participants from collective ideas into focused conversation, media engagement and relationship building.

    The Challenge

Investopia needed to feel coherent despite operating through three stages, a substantial B2B zone, television studios, pre-function activity and a gala dinner on the hotel's outdoor terrace.

The main stage required enough visual authority for a high-profile international conference, while the breakout and press spaces needed their own functional identities. The B2B environment had to support private, productive meetings without becoming visually detached from the wider event.

The creative response also needed to translate Investopia's themes into film, multimedia and spatial design rather than relying on branding alone.

Evolution Events Investopia conference stage with circular platform, LED screen and curved delegate seating

    The Solution

The main stage was built around a 21-metre-wide screen and a circular scenic feature with programmable lighting. This created a recognisable centre for the event while giving multimedia content and speakers a strong shared frame.

Two additional stages supported breakout sessions and press conferences. Rather than repeating the main-stage treatment at a smaller scale, each environment was calibrated to its purpose while retaining the same event identity.

A custom B2B area provided 35 individual meeting booths for one-to-one discussions. In the pre-function space, two television studios and interview branding turned media activity into a visible part of the event ecosystem rather than hiding it backstage.

Evolution also produced the opening film and multimedia content, using the event's visual language to set context before the live programme began. The final gala on the Hilton terrace shifted the mood through ambient lighting and tailored scenic treatment, closing the event in a more relaxed hospitality setting.

    Delivery Highlights

    • Two-day investment conference for more than 1,400 attendees.
    • Main stage featuring a 21-metre-wide screen and circular programmable-lighting feature.
    • Two additional stages for breakout sessions and press conferences.
    • Custom B2B area with 35 individual meeting booths.
    • Pre-function environment with television studios and interview branding.
    • Opening film and multimedia content supporting the conference narrative.
    • Outdoor terrace gala with ambient lighting and tailored scenic elements.

Evolution Events outdoor Investopia gala with circular LED stage framed by an illuminated installation

    Outcome

Investopia gave participants a sequence of environments suited to different levels of engagement. The main stage created a shared investment conversation, breakout and press spaces supported focused content, and the B2B area converted that momentum into direct meetings.

The terrace gala completed the progression by moving the audience from formal dialogue into hospitality, without losing the identity established across the two-day programme.

  • UAE Regional Climate Dialogue

A hybrid ministerial setting in which physical and remote participants were given a visible place within one shared climate dialogue.

During April 2021, the UAE Regional Climate Dialogue brought delegates from the Gulf and wider MENA region to Emirates Palace, with international participation including John Kerry, U.S. Special Presidential Envoy for Climate. Chaired by H.E. Dr. Sultan Al Jaber, the summit was delivered within a compressed one-week timeline.

The event's hybrid format needed more than screens added to a meeting room. Remote contributors had to feel present within a high-level ministerial conversation, and the physical environment needed to communicate sustainability and collaboration without relying on generic environmental imagery.

Evolution developed the identity and bespoke scenic elements around that relationship between room and broadcast. The live photo opportunity, set pieces and backdrops were designed to give both audiences a place within the same event.

    The Challenge

Hybrid participation changes how a summit is composed. Stage design, screen placement and content framing must work for delegates in the room and for those viewing remotely, while online participants need a credible visual role in the live programme.

The one-week programme for design, fabrication and installation left little margin for revision. The high-profile audience also required a disciplined response suited to Emirates Palace and a formal international dialogue.

Evolution Scenic climate dialogue entrance installation with timeline walls, flags and central LED screen

    The Solution

Evolution created a cohesive brand identity around sustainability and regional collaboration, then translated it into main scenic pieces and backdrops designed for the hybrid format.

A live photo opportunity incorporated both in-person and online participants. This gave the format a visible expression and created a shared communications moment rather than hiding the fact that the audience was distributed across different locations.

Branding, scenic design and technical integration were coordinated as one process. The relationship between physical participants, digital feeds and the camera frame was considered alongside the visual treatment, helping the environment maintain clarity across both viewpoints.

Rapid approvals, fabrication and installation were managed within the one-week timeline. The completed setting retained the formality of a ministerial summit while making hybrid participation part of the event's public identity.

    Delivery Highlights

    • Hybrid ministerial summit at Emirates Palace.
    • Event brand expressing sustainability and regional collaboration.
    • Bespoke scenic elements designed for the room and hybrid presentation.
    • Live photo opportunity integrating physical and remote participants.
    • Coordination of branding, scenic and technical integration.
    • Delivery within an approximately one-week timeline.

UAE Regional Climate Dialogue plenary setup with branded backdrop, delegate table and national flags

    Outcome

The dialogue did not treat remote participation as a secondary channel. Online contributors were visibly connected to the in-room event, while the scenic identity gave the summit a clear sense of occasion and shared purpose.

The hybrid format became part of the story of regional collaboration: leaders joining from different places were presented as participants in the same conversation, not separate audiences watching one another.

  • Qudwa-PISA Forum

A one-day global education forum designed as a connected editorial journey, from digital registration and opening film to live dialogue and post-event media.

Held on 19 February 2022 at Expo 2020 Dubai, the Qudwa-PISA Global Competence Forum brought educators, policy experts and decision-makers together around the theme Preparing Students to Live in an Interconnected World. The event was hosted in collaboration with the OECD and the Bussola Institute, with an audience that included ministers of state, foreign royalty and OECD officials.

The forum's ambition depended as much on the quality and sequence of its content as on the live event environment. Evolution approached the project as an editorial ecosystem: the audience would first encounter the forum through its digital platform, move into a carefully structured day of speeches and discussion, and continue engaging through short-form media after the event. That approach gave the forum one continuous voice across programme development, speaker communication, scripts, collateral, film and audience information.

    The Challenge

A one-day international forum has limited time to establish context, introduce complex educational ideas and create meaningful exchange among participants with very different professional and cultural perspectives.

The programme also carried high-level protocol and logistical requirements. Senior guests, speakers and international organisations needed clear communication and dependable support, while every script and media element had to remain aligned with the forum's educational objectives. The creative challenge was therefore not to add spectacle, but to make the content feel coherent before, during and after the live programme.

Evolution Scenic constructed entrance archway with geometric patterns and embedded screens

    The Solution

Evolution worked with the client to shape the programme and content architecture, ensuring that speeches, discussions and supporting material remained connected to the theme of global competence. Speaker management and scriptwriting gave each contribution a clear place within the wider narrative rather than allowing the day to become a series of unrelated appearances.

A custom event website operated as the forum's digital front door, bringing registration, participant information and event communication into one accessible destination. This allowed the audience journey to begin before arrival and reduced the separation between administration and engagement.

The opening film established the forum's purpose and emotional tone at the start of the day. Event collateral then reinforced the same messages throughout the programme, while post-event short videos extended selected ideas into social channels after the live gathering had ended.

Evolution coordinated logistics and operations around the content plan, supporting the movement and requirements of high-profile attendees while maintaining a professional environment for educators and policy specialists.

    Delivery Highlights

    • Programme and content development aligned with the forum's educational objectives.
    • Speaker management for ministers, foreign royalty, OECD officials and education leaders.
    • Custom event website supporting registration, participant engagement and information access.
    • Scriptwriting, event collateral and an opening film establishing the forum's central theme.
    • Post-event social-media videos extending the dialogue beyond the live day.
    • Integrated logistics and event operations at Expo 2020 Dubai.

    Outcome

The Qudwa-PISA Forum operated as more than a single day of speeches. Participants encountered one consistent narrative through the website, event content, opening media and live discussions, making the theme easier to recognise across every stage of the experience.

The post-event content gave the forum a life beyond the room, carrying its central ideas into a wider education conversation after delegates had left Expo 2020 Dubai.

  • ICE Futures Abu Dhabi

One market launch shared by a focused room at ADGM and more than 1,000 virtual viewers around the world.

On 29 March 2021, Intercontinental Exchange launched ICE Futures Abu Dhabi at ADGM, introducing a global benchmark for crude-oil futures trading based on ADNOC's Murban crude. The event brought together ADNOC, ICE, ADGM and nine global energy partners.

The launch had two audiences: more than 30 participants in the room and over 1,000 virtual viewers. Evolution's strategy was to avoid treating either group as secondary. The physical event needed the energy and credibility of a live market launch, while the broadcast needed equal access to speakers, discussion and the significance of the announcement.

Brand, room design, remote participation and transmission were therefore planned as one launch rather than two parallel productions.

    The Challenge

Financial-market announcements depend on clarity, timing and confidence. Live and remote speakers needed to interact naturally, and international viewers required reliable access to the same conversation taking place in Abu Dhabi.

Health-and-safety requirements affected capacity, guest movement and onsite operations. Those controls had to be integrated without making the event feel provisional or reducing the sense of occasion.

Evolution Events delivered production for the ICE Futures Abu Dhabi launch

    The Solution

Evolution developed the launch identity and applied it consistently across the physical environment and virtual output. The room was designed for a focused group of more than 30 participants, with speaker arrangements and production systems supporting bidirectional video and audio.

Remote speakers could contribute directly to the live discussion, while onsite speakers remained clearly visible and audible to the global audience. The two project streams - virtual production and onsite logistics - were rehearsed within one show sequence rather than managed as separate technical packages.

This integrated approach gave both audiences a coherent understanding of the announcement, its participants and its importance to global energy markets.

    Delivery Highlights

    • Hybrid launch at Abu Dhabi Global Market on 29 March 2021.
    • More than 30 in-person attendees and over 1,000 virtual viewers.
    • Brand development across the physical and digital experience.
    • Bidirectional video and audio connecting live and remote speakers.
    • Two integrated project streams covering virtual production and onsite logistics.

Premium event environment welcoming international financial leaders

    Outcome

The launch created one shared market moment across two viewing conditions. Participants at ADGM could engage in a live discussion, while more than 1,000 viewers received the same speakers, announcements and visual identity through the virtual programme.

The event's credibility came from that parity: the room did not feel like a broadcast studio, and the online audience was not treated as overflow.

  • Qudwa Teachers Forum

Packed Qudwa Teachers’ Forum auditorium inside Emirates Palace, Abu Dhabi

The Qudwa Global Teachers' Forum brought more than 800 educators from around the world to Emirates Palace in Abu Dhabi. Supported by the Education Affairs Office within the Crown Prince Court of Abu Dhabi, the forum was created to empower teachers, encourage professional exchange and contribute to the future of education.

The creative opportunity was to make one of Abu Dhabi's most formal venues behave like a working learning campus. Evolution developed the Qudwa brand and used it to connect the complete delegate experience, from the main auditorium and nine breakout spaces to corridor content, hospitality, outdoor terraces and offsite visits.

This shifted the emphasis away from a single stage. The forum identity became a practical tool for orientation, content continuity and community, helping educators understand how each part of the programme related to a shared purpose.

    The Challenge

The scale of Emirates Palace could easily have made the programme feel dispersed. Six new breakout rooms had to be created inside the ballroom, with three additional rooms elsewhere in the venue, while more than 800 teachers moved between formal content, collaborative sessions, hospitality and external activities.

The experience also needed to accommodate senior dignitaries, international delegate travel, speaker content and multiple live environments. Every touchpoint had to carry sufficient authority for a high-profile forum without losing the openness required for teachers to participate and exchange ideas.

Expert Masterclass presenter engaging teachers within the orange Qudwa breakout space

    The Solution

Evolution began with a flexible visual identity that could move between ceremonial, educational and social settings. In the ballroom, six fully customised breakout rooms created a venue within the venue, each with its own stage and backdrop but tied to the wider forum through a consistent graphic language. The main auditorium and three further breakout rooms extended the same identity across the palace.

The delegate journey continued outside scheduled sessions. Custom infographics turned the corridors into a layer of editorial content, while the buffet environments and furnished terraces created recognisable places for conversation. These settings were not treated as decorative additions; they provided the informal social infrastructure that allows professional relationships to develop between sessions.

Evolution managed the auditorium setup, AVL production and speaker content, alongside branded materials, floral details and the wider event environment. The published project scope also included travel for 800 international guests and offsite visits showcasing Abu Dhabi, requiring the event narrative and guest communication to extend beyond the venue itself.

For a programme of this type, Evolution's planning approach connects room use, content control, guest movement and venue access from the outset. At Qudwa, that integrated thinking allowed the palace to support a complex education programme while retaining a clear sense of welcome, purpose and shared identity.

    Delivery Highlights

    • Creation and application of the Qudwa event brand across physical, printed and digital touchpoints.
    • A main conference auditorium supported by nine breakout environments.
    • Six fully customised breakout rooms constructed within the Emirates Palace ballroom.
    • Corridor infographics extending the learning narrative between sessions.
    • Full AVL production and coordination of speaker content.
    • Travel and delegate logistics for 800 international guests, including offsite visits.
    • Custom hospitality settings, terrace furniture, floral details and branded elements.
Meet the Mentor discussion with speakers and educators in a blue branded room

    Outcome

Qudwa gave more than 800 educators a coherent route through plenary debate, focused workshops and informal exchange. The brand and spatial plan made a large palace environment easier to understand, while the workshop, corridor and hospitality settings kept learning visible beyond the main stage.

The lasting strength of the experience was its balance: formal enough for an international forum, yet sufficiently open and practical for educators to work, connect and contribute.
