    Packed Qudwa Teachers’ Forum auditorium inside Emirates Palace, Abu Dhabi

    The Qudwa Global Teachers' Forum brought more than 800 educators from around the world to Emirates Palace in Abu Dhabi. Supported by the Education Affairs Office within the Crown Prince Court of Abu Dhabi, the forum was created to empower teachers, encourage professional exchange and contribute to the future of education.


    The creative opportunity was to make one of Abu Dhabi's most formal venues behave like a working learning campus. Evolution developed the Qudwa brand and used it to connect the complete delegate experience, from the main auditorium and nine breakout spaces to corridor content, hospitality, outdoor terraces and offsite visits.


    This shifted the emphasis away from a single stage. The forum identity became a practical tool for orientation, content continuity and community, helping educators understand how each part of the programme related to a shared purpose.

    The Challenge


    The scale of Emirates Palace could easily have made the programme feel dispersed. Six new breakout rooms had to be created inside the ballroom, with three additional rooms elsewhere in the venue, while more than 800 teachers moved between formal content, collaborative sessions, hospitality and external activities.


    The experience also needed to accommodate senior dignitaries, international delegate travel, speaker content and multiple live environments. Every touchpoint had to carry sufficient authority for a high-profile forum without losing the openness required for teachers to participate and exchange ideas.

    The Solution


    Evolution began with a flexible visual identity that could move between ceremonial, educational and social settings. In the ballroom, six fully customised breakout rooms created a venue within the venue, each with its own stage and backdrop but tied to the wider forum through a consistent graphic language. The main auditorium and three further breakout rooms extended the same identity across the palace.


    The delegate journey continued outside scheduled sessions. Custom infographics turned the corridors into a layer of editorial content, while the buffet environments and furnished terraces created recognisable places for conversation. These settings were not treated as decorative additions; they provided the informal social infrastructure that allows professional relationships to develop between sessions.


    Evolution managed the auditorium setup, AVL production and speaker content, alongside branded materials, floral details and the wider event environment. The published project scope also included travel for 800 international guests and offsite visits showcasing Abu Dhabi, requiring the event narrative and guest communication to extend beyond the venue itself.


    For a programme of this type, Evolution's planning approach connects room use, content control, guest movement and venue access from the outset. At Qudwa, that integrated thinking allowed the palace to support a complex education programme while retaining a clear sense of welcome, purpose and shared identity.

    Outcome


    Qudwa gave more than 800 educators a coherent route through plenary debate, focused workshops and informal exchange. The brand and spatial plan made a large palace environment easier to understand, while the workshop, corridor and hospitality settings kept learning visible beyond the main stage.


    The lasting strength of the experience was its balance: formal enough for an international forum, yet sufficiently open and practical for educators to work, connect and contribute.

  • Prada Mode Dubai

    Damien Hirst’s Pharmacy transformed into an immersive social-club environment through a sculptural bar, medical cabinet, DNA installation and complete venue treatment.

    Prada Mode returned for its eighth edition as a travelling social club combining contemporary art, music, dining and conversation. Hosted at ICD Brookfield Place in Dubai, the two-day programme centred on a new edition of Damien Hirst’s Pharmacy.


    Kennedy London appointed Evolution to realise the artist’s concept within the landmark venue.

    The task was to transform the space into an immersive cultural environment where the artwork, hospitality and social experience operated as one connected experience rather than separate event components.


    The space needed to operate as a bar, dining setting, discussion venue and cultural installation, with every surface and object contributing to the recognisable world of Pharmacy.

    The Challenge


    Damien Hirst’s concept relied on a highly controlled visual identity. Medical references, bold surfaces, lighting, furniture and suspended artwork needed to be integrated with precision so the environment felt intentionally designed rather than a collection of individual production elements.


    The installation also had to be delivered within an existing premium venue featuring eight-metre columns and complex overhead conditions. Safe rigging, accurate scanning and close coordination with lighting designers and project supervisors were essential to protect the artwork, maintain the architectural integrity of the space and achieve the intended creative vision.

    The Solution


    Evolution carried out a comprehensive ceiling scan to support the safe and precise rigging of artwork and artificial track lighting, working with FARO Studio and under the supervision of VCA Projects, the approach provided the technical confidence required to integrate suspended elements within the existing venue structure.


    A custom central bar became the focal point of the social environment, supported by bespoke comfort furniture designed to encourage dining, conversation and evening interaction. The layout allowed the space to transition naturally between hospitality, cultural engagement and entertainment.


    The visual identity of Pharmacy was extended throughout the venue through a life-sized medical display cabinet, transparent printed vinyl applied to the glazing and wallpaper wrapping across the eight-metre circular columns. These interventions transformed the existing architecture into an active part of the installation rather than a backdrop.


    A miniature DNA molecule fabricated in Styrofoam created a suspended centrepiece above the guest environment, reinforcing the medical and scientific references that defined Pharmacy while adding a distinctive visual feature to the space.

    Outcome


    The venue was transformed into a fully realised edition of Pharmacy, where the bar, furniture, medical references and suspended installation worked together as part of one cohesive environment. Guests experienced Prada Mode as a cultural and social setting rather than a traditional event space with artwork added around it.


    The success of the environment came from the integration of creative intent and production detail. Detailed scenic craftsmanship allowed a complex artistic concept to function naturally across dining, discussion and evening programming while preserving the distinctive visual identity of the installation.

  • Victoria’s Secret Perfume Launch

    A boutique transformed around the silhouette, finishes and mood of a new fragrance, extending from intimate in-store discovery to a Burj Khalifa projection.

    Victoria's Secret launched a new fragrance in Dubai in 2021 through an activation designed for media and influencers before opening to the wider public over the weekend.


    Evolution used the product itself as the creative source. The perfume bottle's silhouette, the fragrance finishes and its visual mood were translated into video, projection, drapery, graphics and decorative details throughout the boutique.


    The experience operated at two scales: an immersive retail environment that brought guests close to the product, and an opening-night projection on the Burj Khalifa that gave the launch a citywide moment of visibility.

    The Challenge


    A boutique has limited space and an existing retail identity, so the activation needed to feel transformative without preventing the store from functioning. The design also had to retain its polish when the audience shifted from invited media and influencers to public visitors.


    Digital features, projection and decorative treatment needed to express the fragrance coherently rather than competing for attention. The Burj Khalifa moment introduced an additional layer of technical and content coordination beyond the store itself.

    The Solution


    Evolution designed custom video walls in the silhouette of the perfume bottle, creating an immediate product reference and a central moving-image feature within the boutique. The form made the technology part of the fragrance identity rather than a generic screen installation.


    Graphic projection, signage and decorative elements extended the product language across the store. Dramatic drapery added depth and softness, while smaller visual interventions maintained an elegant and consistent mood around the retail environment.


    For the exclusive opening night, Evolution coordinated a dedicated projection on the Burj Khalifa. The landmark moment expanded the launch beyond the boutique and provided media and influencers with a powerful public expression of the product reveal.


    The activation remained in place for the public weekend, allowing a broader audience to experience the same design story while the boutique continued to operate as a retail space.

  • Xmas at Expo 2020

    A coordinated festive environment brought scenic build, theming and multiple vendors together within the live Expo 2020 Dubai site.

    In December 2021, Expo 2020 Dubai introduced Xmas at Expo 2020 as part of its festive visitor programme.


    Evolution delivered the project as a large-scale Christmas environment, combining scenic build, seasonal design, theming and vendor management across the live Expo site.


    The creative opportunity was to establish a recognisable festive atmosphere within an operating global Expo, ensuring that seasonal storytelling felt integrated with the wider visitor experience rather than appearing as a temporary layer added to the site.

    The Challenge


    The environment needed to work for a diverse international public while remaining appropriate to the scale, architecture and daily operating conditions of Expo 2020 Dubai.


    Vendor activity, scenic installation and themed elements also had to be coordinated within a live destination. The experience could not interrupt pavilion access or reveal the complexity required to install and maintain it.

    The Solution


    Evolution connected the scenic build and theming through one seasonal design direction, allowing separate features to contribute to a shared festive atmosphere across the visitor environment.


    Physical elements were planned around public circulation and dwell, giving families and visitors recognisable points of interest while maintaining clear movement through the operating Expo site.


    Vendor management formed part of the creative delivery process. Installation responsibilities, finishes and handovers were coordinated so the completed environment felt consistent despite involving multiple contributors.


    Live-site planning aligned scenic works with access controls and operating requirements, helping the seasonal experience remain visually complete while the wider destination continued to function.

  • Santa’s Sustainable House

    A fully staged Santa workshop connected festive storytelling, playful interaction and practical sustainability education within Winter City.

    Santa’s Sustainable House formed a centrepiece attraction of Winter City 2023 at Expo City Dubai, combining a familiar festive attraction with the city’s commitment to responsible living.


    The creative proposition was deliberately simple: sustainability should be experienced through the magic of Santa’s world rather than presented as a separate educational message.


    Evolution designed and constructed an immersive house in which elves, workshop activity, interactive moments and eco-conscious details allowed families to encounter practical ideas within a playful seasonal story.

    The Challenge


    Environmental education can feel disconnected from a festive family attraction when information is added as signage after the experience has been designed. The content needed to influence the setting, activities and guest interaction from the beginning.


    The house also had to operate as part of the wider Winter City narrative. Its identity needed to feel distinctive while remaining visually and spatially connected to the larger seasonal destination at Expo City Dubai.

    The interior was developed as a fully staged workshop populated by jolly elves. This made sustainable practices part of the action and storytelling rather than a formal lesson delivered outside the festive experience.


    Interactive moments invited visitors to participate, giving families a direct relationship with the themes being introduced while preserving the joy and whimsy expected of a Santa attraction. The architecture, décor and programme were integrated with the wider Winter City environment, allowing the house to function as one chapter within the complete seasonal visitor journey.

  • HOW MUCH DOES AN EVENT IN DUBAI COST?

    THE SHORT ANSWER IS: IT DEPENDS. THE USEFUL ANSWER IS: HERE'S WHAT IT DEPENDS ON.

    “How much does an event in Dubai cost?” is a completely reasonable question.


    The challenge is that there isn't one standard answer.


    A private dinner for 100 guests, a corporate conference for 1,000, a product launch in a hotel ballroom and a three-day public festival are all events in Dubai. Their budgets can be completely different.


    That doesn't mean an event company should avoid giving you guidance.


    It means the first step is understanding what is actually driving the cost.

    WHAT ACTUALLY DRIVES THE COST?


    Guest numbers matter, but they are only one part of the budget.


    A highly produced dinner for 200 guests can cost considerably more than a relatively simple event for 1,000.


    A technically complex product launch may require more production than a conference with twice the audience.


    An empty outdoor site may need an entire temporary environment to be created around it, while an established Dubai hotel may already provide much of the infrastructure.


    The useful questions are:


    What are people coming for?

    How long will they be there?

    What should they experience?

    What already exists?

    What needs to be created?


    Once those questions start being answered, a realistic event budget begins to take shape.

    THE VENUE CAN CHANGE THE WHOLE BUDGET.


    Dubai offers an enormous range of event venues, from hotels and ballrooms to exhibition halls, cultural venues, beaches, rooftops, desert locations and completely blank outdoor spaces.


    The venue hire fee is only one part of the overall cost.


    A hotel ballroom may already include furniture, catering infrastructure, power, toilets, air conditioning and established guest access.


    A remote outdoor location may provide very little of that.


    That does not automatically make the outdoor location the wrong choice, or even necessarily the more expensive one.


    It simply means more of the event environment needs to be created from scratch.


    This is why a venue with a higher hire fee can sometimes result in a lower overall event cost.


    Looking at one line of an event budget in isolation rarely tells the whole story.

    THEN THERE'S WHAT THE GUEST ACTUALLY EXPERIENCES.


    Food and beverage, furniture, entertainment, scenic design, décor, lighting, sound, video, staging and content can all represent significant parts of the budget.


    Where the money goes should depend on what matters most to the experience.


    For one event, an international artist might be the defining moment.


    For another, it could be the scenic environment.


    A conference may place more emphasis on audiovisual production, screens and content.


    A luxury dinner may invest more heavily in food, furniture, table design and service.


    A good event budget is not about spending equally across every area.


    It is about putting the money where it will have the greatest impact.

    AND THEN THERE ARE THE COSTS GUESTS DON'T SEE.


    Transport.

    Security.

    Accreditation.

    Logistics.

    Crew.

    Temporary power.

    Internet.

    Permits.

    Production management.

    Back-of-house facilities.

    Temporary kitchens.

    Cleaning.

    Waste management.

    Health and safety.


    These are not always the most visible parts of an event, but they are fundamental to delivering it properly.


    They can also be easy to underestimate, particularly on large-scale events, outdoor projects or temporary venues.


    The creative idea is only one part of the cost.


    Someone also needs to work out what is required to build it, operate it and deliver it safely.

    BUDGET FIRST OR BRIEF FIRST?


    Both approaches work.


    If you already have a fixed budget, tell us.


    If AED 1 million is the absolute ceiling, we can work backwards from AED 1 million.

    That means identifying the priorities, understanding what can realistically be delivered and deciding where the budget will create the greatest impact.


    Sometimes that means protecting the venue and simplifying another part of the event.


    Sometimes the scenic environment matters most and the entertainment changes.


    Sometimes a different production approach can achieve the same objective more efficiently.

    Alternatively, the brief may come first.


    The event can be developed around the audience, objectives and required experience, and the likely cost can then be established.


    From there, the scope can be adjusted if required.


    And if there is no budget yet, that is fine too.


    A good event team should be able to help build one.

    WHERE SHOULD THE MONEY GO?


    This is where experience becomes particularly useful.


    Not every expensive element creates an expensive-looking event.


    And not every cost-saving decision is visible to the guest.


    A relatively modest investment in lighting can completely transform a room.


    Better furniture can significantly improve a standard venue.


    A simpler scenic solution, executed properly, can be more effective than a much larger build.


    Changing the schedule may remove an entire day of venue hire, crew or equipment costs without affecting the guest experience at all.


    There are also areas where cutting too aggressively can become a false economy.


    Insufficient technical equipment, unrealistic build schedules, inadequate staffing or under-specified infrastructure often create bigger problems elsewhere.


    The useful question is not simply:

    “Where can we cut?”


    It is:

    “Where does this money matter most?”


    That is also where good event management should add value.


    A strong event team should identify potential cost increases early, manage change, challenge unnecessary spend and help the client make informed decisions throughout the project.

    There still isn't one number.


    But there should be a clear reason behind every number that eventually appears in the budget.

    Venue, guest numbers, production, entertainment, catering, furniture, infrastructure, logistics and operational complexity all influence the final cost.


    Start with a fixed budget and build the right event around it.


    Or start with the brief and establish what it will realistically cost.


    Either way, the goal should be the same:

    Spend the money where it matters.
